Planning a Performance Group Tour: What Band Directors and Choir Teachers Need to Know

If you have ever tried to plan a performance trip for your school band or choir, you already know it is an entirely different logistical challenge from a standard student field trip. You are not just moving students from one place to another. You are coordinating instruments, uniforms, performance schedules, rehearsal time, and the expectations of a receiving venue, all while managing the regular demands of your job and fielding questions from a hundred different parents.
That is exactly why EDU Prime Tours, a division of Prime Tours, exists.
We have been planning and operating performance group tours from Columbus since 1996. Our team is made up of retired educators including musicians, coaches, and teachers who understand what a director needs and what a student group requires. Over nearly three decades, we have placed Ohio student performers on stages across the country and abroad, from the steps of national monuments in Washington D.C. to Main St Parades at Disney World, to castle courtyards and prestigious parades in Ireland.
When your group takes the stage, the only thing on your mind should be the performance. We take care of everything else.
The Trips We Have Built and the Stages We Have Filled
The performance trips we have operated span a range of destinations, group types, and performance settings, and we only speak to the ones we have actually done.
Washington D.C. is a destination we know well for performance groups. In 2016, Prime Tours EDU coordinated a high school choir from Florida for a performance at the Presidential Inauguration, one of the most logistically demanding and security-intensive performance environments a student group can be placed in. Beyond that experience, D.C. gives groups the Lincoln Memorial, the Vietnam Veterans Memorial, the Capitol, and the Smithsonian, a full educational backdrop that makes any trip there meaningful on multiple levels.
For marching bands specifically, Disney is a destination we have taken multiple Ohio high school groups to through Disney's own performance programs. The application process, rehearsal requirements, parade logistics, and day-of coordination are all unique to Disney, and having done it multiple times means we know exactly how to navigate it so that the experience goes smoothly from arrival to the moment your band steps into the parade.
Internationally, the OSU Marching Band Ireland tour is the most high-profile example of what Prime Tours can achieve at the performance group level. As the official authorized companion tour of The Ohio State University Marching Band, we have coordinated performances at Kilkenny Castle, parades through Irish city streets, and appearances across the island, working with our trusted partner Celtic Horizons on the ground to ensure every performance is executed exactly as planned. The logistical complexity of moving a large performance group through a foreign country and putting them on stage in world-class settings is something we have done at the highest level, and those same capabilities are what we bring to every student performance tour we operate, regardless of scale.
What Makes a Performance Tour Different From Every Other Trip
A standard student tour requires careful logistics. A performance tour requires all of that plus an entirely separate layer of coordination with venues, receiving organizations, and local contacts at every stop.
Getting a marching band into a parade requires advance scheduling, official authorization, and day-of coordination that leaves nothing to chance. Getting a choir into a cathedral, concert hall, or festival venue requires established relationships and a track record that receiving organizations can trust. Getting an orchestra to the right festival and securing a competitive spot rather than just an available one requires knowing the landscape well enough to ask the right questions.
Prime Tours EDU handles all of it. We schedule performance venues, secure admissions and tickets, coordinate with receiving organizations, and for international trips partner with established incoming tour operators who know the destination as well as we know Central Ohio.
What Your Parents Are Going to Ask
Every parent night for a performance trip involves the same set of questions. Here is how Prime Tours EDU answers them.
On transportation, we charter motorcoaches scaled to your group size and arrange group airfare if the trip requires it. Your students travel together from your school to the destination and back, with a Prime Tours director on board the entire time.
On lodging, we arrange properties suited to your group and budget, with input from your trip leaders on location and preferences. For student overnight stays, Prime Tours contracts with a professional security company to monitor the hotel during evening quiet time. Most tour operators do not do this. Every parent we have ever mentioned it to has immediately appreciated it, and it reflects the way we think about the responsibility we carry when schools trust us with their students.
On meals, dining is selected with input from your trip leaders. A band with a 6 AM departure for a parade needs a different setup than a choir with a relaxed afternoon rehearsal schedule. We plan for your actual trip, not a generic version of it.
On registration and payments, everything runs through our secure online payment provider. Students and families register and pay directly, and Prime Tours manages the collection. Travel insurance is available and strongly recommended, including Student Deluxe coverage and Cancellation for Any Reason options. Prime Tours carries a one million dollar Liability and Errors and Omissions Insurance policy with Berkshire Hathaway, and every school we work with should know that before they sign anything.
The SYTA and NTA Memberships
Prime Tours EDU is a member of the Student Youth Travel Association and the National Tour Association. These memberships reflect a commitment to professional standards, ethical practices, and accountability that separates serious operators from those who simply organize trips.
When you are evaluating tour operators for your school, SYTA and NTA membership is one of the clearest indicators that the company operates at a professional level. It also means that if something ever goes wrong, there is a framework of accountability and support that exists outside of the company itself. You should ask any operator you consider whether they hold these memberships.
What the Students Actually Experience
The logistics are important. But so is what happens when the logistics disappear into the background and your students are simply living the trip.
Our guides are retired teachers, coaches, musicians, and historians. They bring genuine knowledge and enthusiasm to every stop on the itinerary. A choir that performs in a historic venue and then hears the story of that building from someone who has spent a career studying that history comes away with something much more than a performance credit. A band that marches through Washington D.C. and then stands at the Korean War Memorial with a guide who can name what happened there carries that experience differently.
That combination of performance excellence and educational depth is what defines a Prime Tours EDU trip. It is also what brings schools back to us year after year, trip after trip, for nearly 30 years.

Let's Start Planning
Your students have worked hard. A performance tour is one of the most meaningful experiences a director can give their group, and one of the most powerful things a student can carry with them beyond the school year.
Prime Tours has been making those trips happen for Central Ohio schools for nearly 30 years. We have the destinations, the relationships, the educator background, and the operational track record to make your next performance tour the kind of experience students talk about for years.
