Booking a group tour is a meaningful decision. You are committing your time, your money, and a good chunk of your trust to an organization that is going to be responsible for one of your most anticipated experiences. That deserves more than a glance at a brochure.

Over the years I have talked with hundreds of travelers at every stage of the decision-making process. Some are brand new to group travel and are not sure what to expect. Some have traveled independently for years and are considering making the switch. Some are couples who want to explore the world together without one person carrying all the planning weight. And some have traveled with other operators before and are wondering if there is a better way.

What I have found is that the best travelers ask great questions before they book. So here are the ten questions I think every person should ask any group tour operator they are considering, along with exactly how Prime Tours answers each one.

1. Are you a travel agency, or do you actually plan and operate the tours yourself?

This is the most important question on the list, and most people never think to ask it.

There is a real difference between a travel agency, which acts as a middleman connecting you to someone else's tours, and a group tour planner and operator, which builds and runs the experience directly. When you book through an agency, you may not know who is actually running the tour, who is accountable if something goes wrong, or how many hands your trip has passed through before it reaches you.

Prime Tours is a group tour planner and operator. We build every itinerary ourselves, contract directly with hotels, transportation providers, venues, and local guides, and our team travels with you from start to finish. There are no middlemen. No hand-offs. The people who planned your trip are the same people standing next to you when you arrive.

2. Who actually travels with the group?

Not every tour company includes a dedicated representative traveling with you. Some operators drop you with a local guide at the destination and call it done. That is worth knowing before you commit.

At Prime Tours, a member of our team travels with every group for the full duration of every trip. On larger international trips that often means multiple Prime Tours team members on the ground with you every single day. For our OSU Marching Band Ireland tour, Kevin Thuman, myself, Lauren Busch and Jeff McMillan all traveled with the group. That meant there were real, experienced people available to handle anything that came up before travelers even had to ask. That consistency is something travelers notice immediately, and something they talk about long after they get home.

3. What exactly is included in the price?

Vague answers here are a red flag. You should know precisely what you are getting before you put down a deposit, and any operator worth traveling with will tell you clearly.

At Prime Tours, every tour page lists exactly what is included and exactly what is not. For our Ireland tour, included meant seven nights at 4-star hotels, a full Irish breakfast every morning, multiple group dinners, luxury motorcoach transportation for all touring days, all listed admissions, and a Prime Tours director traveling with the group the entire trip. Not included meant airfare, meals outside the listed ones, personal expenses, and driver and guide gratuities. No surprises. When you know what you are getting, you can budget accurately and travel without that nagging uncertainty about what might show up on a bill later.

4. What happens if I need to cancel?

Life is unpredictable. Health changes. Family situations arise. Before you book anything, understand the cancellation policy completely, and make sure you are protected if circumstances shift.

Prime Tours publishes our deposit and final payment and non-reundable deadlines clearly on every tour flyer. We also strongly recommend travel insurance on every trip we operate and make it straightforward to access through Travelex Insurance Services. Cancellation for Any Reason coverage is available and we can help you understand when it's a good idea to take it. For travelers who book group air through Prime Tours, that air is fully refundable until much closer to departure, unlike standard non-refundable airline tickets. That flexibility matters when the future feels uncertain. We would rather you book with confidence than hesitate because you are worried about what happens if plans change.

5. What is the activity level and pace?

This question does not get asked nearly enough, and it should. A tour described as moderate by one operator might mean something completely different at another.

At Prime Tours, every tour lists a specific activity level on a clear scale. Our Ireland trip is rated a 3 out of 5, which means moderate physical activity, a mix of longer and shorter days, some walking on uneven surfaces and stairs, but nothing extreme. That transparency lets travelers make an informed decision about whether a particular trip matches their comfort level. We also build our itineraries with real balance in mind. Active sightseeing days pair with more relaxed evenings, and free time is built in so travelers are not running on empty by day four. For our senior and active adult travelers especially, that balance is not an accident. It is intentional.

6. How large is the group, and will that affect my experience?

Group size shapes everything from pace to atmosphere, and neither small nor large is inherently better. What matters is how the operator manages the size they are working with.

Prime Tours operates at a wide range of scales. Some of our tours are intimate. Others involve a very large group of travelers moving across multiple cities in a foreign country, as with our OSU Marching Band Ireland trip. What stays consistent regardless of size is the structure: dedicated directors and guides with the group at all times, pre-arranged admissions that eliminate waiting in ticket lines, and motorcoaches that keep everyone moving comfortably and on schedule. A well-operated large group trip feels seamless because the planning behind it is thorough. When travelers tell us a big trip felt easy, that is not luck. It is nearly 30 years of knowing exactly what to anticipate.

7. What does a typical day actually feel like?

The itinerary tells you the destinations. What travelers really want to know is what the rhythm of the day is like, what it actually feels like to be on one of these trips.

On a Prime Tours trip, most days start with a full breakfast at the hotel. The group boards the luxury motorcoach, and the director or guide provides context and color as you head to the day's destinations. Admissions are pre-arranged, so you walk in rather than wait in line. There is a mix of structured group experiences and genuine free time built into most days. Evenings often include a group dinner or the freedom to explore a city on your own. You can leave personal items on the coach during stops because it is always locked or supervised. Departure times are communicated clearly each morning, and the overall feeling is one of being genuinely taken care of without feeling like you are being managed.

8. How does the operator handle something going wrong?

No trip of any real length is entirely immune to the unexpected. Flights get delayed. A venue has an issue. A traveler needs medical attention. What separates a good operator from a great one is not whether problems arise. It is how quickly and competently they get resolved.

Because Prime Tours plans and operates every trip directly, we have the authority and the relationships to make real adjustments in real time. We are not waiting on hold with a third-party company in another country. Our director is on the ground with you, our team in Columbus is reachable, and after nearly 30 years of operating group tours we have handled most of what travel can throw at a group. We also carry a one million dollar Liability and Errors and Omissions Insurance policy underwritten by Zurich Direct, which is protection for our travelers and a reflection of how seriously we take this responsibility. When something comes up, travelers usually find out we handled it after the fact, not because they had to get involved.

9. How do you communicate with travelers before the trip?

Pre-trip communication is one of the clearest windows into how an operator actually treats its travelers. A company that goes quiet after you pay your deposit and resurfaces a week before departure is telling you something important.

Prime Tours stays in active communication from the moment you book to the moment you land back home. For international trips, we produce a detailed Know Before You Go document that covers everything from passport requirements and entry authorizations to packing recommendations, currency tips, electricity converters, cell phone plans, hotel logistics, and gratuity guidance. For major trips, we host a pre-departure Zoom session where travelers can ask questions directly and hear the answers from our team. We also share curated film recommendations and cultural history overviews so travelers can immerse themselves in their destination before they ever leave home. It sounds like a small touch. Travelers consistently tell us it is one of their favorite parts of the whole experience.

10. Why Prime Tours over anyone else?

I will be straightforward with you here, because I think that is exactly what this question deserves.

Prime Tours has been planning and operating group tours from Columbus, Ohio since 1996. Kevin Thuman, the other owner is a retired Westerville social studies teacher. I am a former high school English teacher and retail store owner. Our guides and directors are retired educators, coaches, historians, and musicians. We are not a national company with a call center. We are a Columbus-based team that personally plans, personally operates, and personally travels with every group we take out.

Our travelers are seniors and active adults who want to see the world without carrying the weight of planning it. They are couples ready for shared adventures. They are Ohio State fans, music lovers, history enthusiasts, and people who simply want to travel with a group that feels welcoming, well-organized, and genuinely invested in their experience. We build tours for all of them and we show up for all of them, every single day of every single trip.

If you have traveled with another operator and something felt off, whether it was the communication, the lack of a real person on the ground, or just the sense that you were one of thousands rather than someone whose trip actually mattered, we would love the chance to show you what group travel looks like when it is done right.
